1. Information We Collect

We collect information you provide directly: name, email, company name, and lease data you enter into the platform. For demo users, we collect email addresses for marketing purposes.

2. How We Use Your Information

To provide and maintain the LeaseBook AI service
To process lease calculations and generate accounting entries
To send transactional emails (welcome, alerts, invoices)
To improve our service through analytics (PostHog)
To communicate product updates and marketing (you can opt out)

3. Data Storage & Security

Each client's data is stored in an isolated Neon Postgres database. We use encryption at rest and in transit. API keys are stored as SHA-256 hashes. JWT sessions expire after 7 days.

4. Data Isolation

Enterprise clients receive their own dedicated database instance. No data is shared between clients. Demo data is stored separately in a shared demo environment.

Vercel — Hosting and serverless functions
Neon — PostgreSQL database
Anthropic (Claude) — AI contract extraction and chat
Resend — Transactional email
PostHog — Product analytics
Paddle — Payment processing

6. ERP Integration Data

When you connect to an ERP system (Oracle, SAP, NetSuite), we access only the lease-related data necessary for synchronization. Connection credentials are encrypted and stored per-client.

7. Your Rights

Access your data at any time through the dashboard or API
Export all your data in Excel format
Request deletion of your account and all associated data
Opt out of marketing communications

8. Data Retention

We retain your data for the duration of your subscription. Upon cancellation, data is retained for 90 days before deletion. Audit logs are retained for 7 years per accounting compliance requirements.
